1. Who we are
Shree Mota Bavan (22) K. P. Samaj (“the Samaj”, “we”, “us”) is a community organisation. We are responsible for (the “data fiduciary” of) the personal data handled through:
- the website shree5222.com, including the member area and the office’s admin panel;
- the life-members list members.shree5222.com;
- the Inam Vitaran (student prize) form shree5222.com/inamvitaranform;
- the Android app “5222 Samaj” (package
com.hardik.shreemota5222samaj).
We handle personal data in line with India’s Digital Personal Data Protection Act, 2023 and the rules made under it.
2. Information we collect

Most information is entered by you or by your head of family. Some is entered by the Samaj office from membership forms and receipts.
3. How we use it
- To keep the Samaj membership register and family records (વંશાવળી) up to date.
- To give you a login to the member area and the app, and to send you your login details (for example on WhatsApp).
- To let members find each other in the member directory.
- To run the matrimonial section for families looking for a match.
- To run the Inam Vitaran (student prize) programme: check marksheets, prepare rank and prize lists, contact the family.
- To send notices about events, news and Samaj activities (website bell and app notifications).
- To answer your messages and requests, keep the services secure, and fix problems.
We process your data on the basis of your consent (given when you register, add data, or use a service), and for the legitimate purposes of running the Samaj and its programmes. You may withdraw consent at any time (section 11); this does not affect processing already done.
4. Who can see your information

Women’s mobile numbers are never shown to other members or the public, anywhere on the website, members list or app.
If you do not want some of your details shown in the public member search or life-members list, write to the office (section 13) and we will hide them.
5. Family members and children
The head of family can add relatives, including children. By adding someone you confirm that you have their consent or, for anyone under 18, that you are their parent or lawful guardian and agree on their behalf. Relatives can ask the office to correct or remove their own details.
Matrimonial profiles are created by a parent for their own son or daughter. They are only for persons of legal marriageable age, need the consent of the person concerned, and are shown only after the office approves them. Contact details on a matrimonial profile are for marriage purposes only and must not be used for anything else.
7. Mobile app (“5222 Samaj”)
- Sign-in: the app keeps only a sign-in token, in the phone’s secure storage (Android Keystore). Your password is not stored on the phone. The token expires after 30 days, and signing out removes it.
- Notifications: the phone’s notification token is saved on our server so the office can send notices to everyone, to members, or to you. It is linked to your member account only while you are signed in.
- Crash reports: if the app crashes, technical details are sent to Google Firebase Crashlytics so we can fix it.
- Permissions: notifications (optional) and camera (optional, only to take a photo for a profile). Photos are chosen through Android’s photo picker, which shares only the photo you pick. You can change permissions any time in the phone’s settings.
- Updates: the app checks our website for a newer version and sends only its version number.
- The app has no advertising and no third-party tracking.
9. Security
The website and app use encrypted connections (HTTPS). Only authorised office bearers can open the admin panel. Uploaded photos and files are checked and re-processed before they are saved, and app sign-in tokens are stored only in scrambled (hashed) form. No system is completely secure. If we learn of a breach that affects your data, we will inform you and the authorities as the law requires.
10. How long we keep it
- Membership and family records are kept while you are a member. They form the Samaj’s permanent register, so records of late members are kept and marked as such.
- Matrimonial profiles are kept until you delete them or ask us to.
- Inam Vitaran applications and marksheets are kept as long as needed for the programme and its records.
- Contact messages, notification tokens and server logs are kept only as long as needed. A notification token is removed once Firebase reports that the app is no longer installed.
11. Your rights
Under the Digital Personal Data Protection Act, 2023 you can:
- see what personal data we hold about you and how it is used;
- correct, complete or update it: most details can be changed yourself under My profile and My family in the member area or app;
- ask us to erase it, and withdraw your consent;
- nominate a person to exercise these rights if you die or become unable to;
- complain to our grievance officer and, if you are not satisfied, to the Data Protection Board of India.
Send your request to the office (section 13). We may ask you to confirm your identity, and we aim to reply within 30 days.
12. Delete your account and data
- Matrimonial profiles can be deleted yourself any time: member area or app → વર-વધુ → My profiles → Delete.
- Relatives can be removed yourself: member area or app → My family → Delete.
- To delete your login account and your data, contact the Samaj office (+91 9664930178) or email shreemota5222samaj@gmail.com with your name, member number and registered mobile number, or use the contact form.
After confirming your identity we will close your login and delete your profile, photos, family entries and matrimonial profiles. We keep only what is needed for the Samaj’s membership register, receipts and accounts, or what the law requires, and that is no longer shown to other members.

We may update this policy when our services or the law change. The date at the top shows the latest version. Important changes are announced on the website and in the app.
